Conference photographer — atmosphere, speakers, key moments

The conference photographer you actually want is the one nobody notices. No flash above the lectern, no “could you step back for the group shot”. Just 80 photos afterwards that your whole organisation reuses the following year in keynote decks, social posts and the annual report.

Conference photography is a specialism within my broader event photography — the same documentary approach, focused on the corporate setting.

How I cover a conference or corporate event

I arrive an hour before the first guest. That hour is for the set-up: the room, the signage, the badge table, the sponsor banners — the details that get forgotten later. During the programme I switch between three modes:

• Plenary sessions: discreet telephoto from the side, no disruption to speakers or audience
• Networking and break-outs: in the crowd, capturing conversations, no poses
• Hero shots: 5-10 images of the keynote speaker and the overall standout moment for your marketing

Between sessions I quickly select a handful of previews so your social team can publish within 2 hours.

What you get

• 80-150 edited photos per half-day, in web and print resolution
• Express delivery within 24-48 hours (on request)
• A selection of 10-15 hero shots within 2 hours of the event for social use
• Corporate media licence — use on your site, social, internal channels, annual report
• On request a GDPR-aware approach: signage at the entrance, opt-out procedure, recognisable-persons check

Frequently asked questions

What about GDPR and recognisable people? As standard we (you or I) place a short notice at the entrance. On request I deliver images with faces made unrecognisable, or an opt-out procedure beforehand. See the FAQ for the details.

Do you work with dual storage during the event? Yes — dual memory cards, and a 3-2-1 backup straight after the event. No lost images.

What if a speaker’s slot shifts late? No problem, I work flexibly. If multiple rooms run at once: a second photographer is available on request.

Do you also do video? Not myself, but I work with videographers in my network and can recommend someone with the same documentary style.

What does a half-day cost? From €450 for 4 hours of coverage. Full day (8 hours): from €750. Multi-day events on quote. Request a proposal for your specific setting.
